Private Practice Policies & FAQ

  • I am a Licensed Clinical Social Worker in New York #094375 & California #120859.

    I provide services through Simple Practice, a secure, HIPAA-compliant telehealth platform. Telehealth is offered because it is more accessible to folx with diverse needs. Telehealth also allows me to engage in this work more sustainably, given being licensed in two states.

    Should I be in New York or California with an office available I will plan accordingly for a hybrid session.

    Due to state licensure regulations, I cannot offer therapy to those outside of these states. If you are looking for a mental health provider please check out vetted list servers:

  • Together we choose a day and time that we can meet weekly. I recommend weekly scheduling for the first several months because we are building a foundation of trust, consistency and habits that are meant to feel authentically aligned to your own unique goals and what is bringing on your healing journey.

    I’m also happy to meet you where you at. I understand it is not always possible with inconsistent schedules. I share during our first session that our first 4 sessions are preliminary to see if the rhythm is mutually working. In the event scheduling or our fit does not align will provide referrals that suite the needs of what you are looking for.

  • My full fee is $250 per for 50 minutes.

    We deeply understand therapy can be expensive and money is often a sensitive issue. We are committed to creating a compassionate and brave space to talk openly about money.

    My full fee is a reflection of the cost per living and standard cost per session in New York and California. A portion of my fee allows accessibility to offer a sliding scale fee to those who who identify as a first generation college graduate experiencing underemployment, layoff, or single parent hardships.

  • Yes! I am currently paneled with Aetna, United Health Care and Oxford Health Insurance in the state of New York through Headway & Alma. Headway & Alma work with you on their respective platform understand your insurance benefits.

    You are responsible for understanding how your insurance policy works and verifying what services are covered. For instance, some policies do not cover telehealth sessions.

    You are responsible for all copayments, co-insurances, and deductibles at the time of service.

    If you do not have any of these insurances listed about I am experienced and happy to provide statements for insurance reimbursement (aka "super bills"). I recommend contacting your insurance provider and inquiring about your "out-of-network mental health" coverage to know your options.

    If you need a superbill for reimbursement from your health insurance, we will provide it (generally, within 72 hours of the request).

    You may be responsible for obtaining additional documentation from your physician for necessary and appropriate medical coding for the superbill to be completed.

    Reimbursement cannot be guaranteed by Cynthia Magaña, LCSW.

    If your insurance denies any part of your claim, you are responsible for the full balance for services provided by Cynthia Magaña, LCSW.

  • Yes, I offer a limited amount of slots for sliding scale. At this time, my sliding scale begin at $100 per session.

  • We will not charge for appointments cancelled 48 hours or more before the appointment.

    You will be charged a full session fee if the cancellation is less than 48 hour or if you do not show up to your scheduled appointment.

    For those using insurance, a cancellation fee of $200 will be charged for a cancellation or no-show less than 48 hours.

    If you do not appear for a scheduled session, or contact your therapist, within 10 minutes of the start time, it will be considered a cancellation and your therapist will leave the session.

  • I work Tuesday-Friday. starting st 10am PST andI do not schedule past 5pm PST.

  • Payment

    I use a secure, HIPAA-compliant softwear Simple Practice. Before each session, you will be charged the agreed-upon fee. For Those using insurance, you will be billed through autopay through the mutually agreed platform Headway or Alma.

    Fee Changes

    Fees are subject to periodic changes; you will be notified of any changes in fees three months before the changes are implemented.

    These charges will appear on your bank/credit card statement and may be linked to protected health information.

    You may request a monthly invoice. You will receive an invoice from SimplePractice for payments.

    You must notify Cynthia Magaña, LCSW of any changes to your billing information.

    If fees have not been paid within 14 days, Cynthia Magaña, LCSW reserves the right to suspend or terminate services. The reason for this is to prevent the additional discomfort that comes into therapy when there is a substantial amount of money owed.

  • You have the right to receive a "Good Faith Estimate" explaining how much your medical and mental health care will cost.

    Under the law, health care providers need to give patients who don't have insurance or who are not using insurance an estimate of the expected charges for medical services, including psychotherapy services.

    You have the right to receive a Good Faith Estimate for the total expected cost of any non-emergency healthcare services, including psychotherapy services. You can ask your health care provider, or any other provider you choose, for a Good Faith Estimate before you schedule a service.

    If you receive a bill that is at least $400 more than your Good Faith Estimate, you can dispute the bill. Make sure to save a copy or picture of your Good Faith Estimate.

  • My consulting rate starts at $100 per hour.

  • My base rate is $400 , and any facilitation that is longer than two hour will be an additional $100 per hour. Please connect with me here.

  • During our first session, we will review what confidentiality means so you will know what exactly to expect and what the legal mandated parameters are, our approach towards maintaining confidentiality and how we like to build practices of care. Our practice is valued in affirmative and anti-oppressive mental health care. I will work with you to build a care support team outside of our therapy sessions.

    There are certain times that confidentiality will require me to adhere to state licensure regulations for the purpose of keeping yourself and the general public safe.

    If this happens, I will inform you first, if possible. These situations have to do with your safety.

    Public Health & Safety Activities:

    I may communicate with family members, friends, law enforcement, and others if we feel there is a serious threat to your health and safety or the health and safety of the public or another person. For example, we may share your information to:

    1) Prevent Injury to yourself and others (Plan and Means to Harm Self or Others)

    2) Report suspected child neglect or abuse, elder abuse,

    3) Report suspected elder neglect or neglect.

    For Payments and Services: We may use and share your health information to obtain prior approval for services, bills, or receive payment from health plans or other entities.

    Our Business Associates: We may use and disclose your information to outside persons or entities that perform services on our behalf, such as auditing, legal, or transcription. We contractually require these parties to use and disclose your information only as permitted and to appropriately safeguard your information.

    Legal Compliance and Law Enforcement: If required, we will share your information with a federal or state agency with oversight over our activities. We will also share information about you, if necessary, for law enforcement purposes or with a law enforcement official. We take such requests seriously and will consider them carefully. We will make reasonable efforts to limit our disclosure to the minimum amount required.
